This position is located within the Radiology and Nuclear Medicine Service at the Lexington VA Healthcare System in Lexington, Kentucky. The Program Support Assistant is assigned to the Office of the Chief of Radiology and Nuclear Medicine. The PSA coordinates, understands, and manages the office activities of both the Radiology and Nuclear Medicine Services, under the direction of the PACS/Clerical Administrator, Radiology Administrator and Chief of Radiology and Nuclear Medicine.
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/03/2025. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Specialized experience is defined as experience operating a variety of technical equipment, i.e., PC in a Windows environment, calculator, copier, fax and other related computer applications; prepare correspondence and reports ensuring correct grammar, spelling punctuation and in correct format; accurate record keeping and maintain a calendar of required reports and ensure proper completion. The incumbent is responsible for serving as the Radiology and Nuclear Medicine primary Automated Data Processing Application Coordinator (ADPAC). This requires monitoring and coordinating the programs and services offered to all Healthcare System Clinical Services including but not limited to Primary Care Providers, Medicine, Surgery, Neurology, Orthopedics, Dental, Dermatology, NTP, Tele-Health, CBOC's and outpatient clinics. The Program Support Assistant is the first contact and must prioritize the assignments and workload to meet the demands of the administrative operations of these complex services. They work independently and with initiative in completing duties. The incumbent must possess a working knowledge of Service programs and apply this knowledge within those processes. Duties or Functions of this position include but are not limited to: Performs clerical duties to include, faxing, filing, typing, using computer applications, preparing clinical and administrative records/charts, assuring accurate and prompt communications, coordinating meetings, completing work orders and copying, etc. Coordinates in-service training activities, develops training plans, provides guides and maintains records of training activities; determines the methodology for identified training needs and schedules such accordingly Manages purchase requests as a fund control point clerk Provides service-line support as an application coordination and provides support for software packages used by Radiology Clinicians and support staff Performs Time-keeping duties for the service utilizing VA Timekeeper Software Prepares schedules for coverage of holidays, on-call, stand-by, weekend and scheduled overtime for professional, technical and clerical employees, through the usage of software applications Ensures that all data entered into the VistA system utilizing radiology applications is accurate and timely. This requires monitoring and auditing data entered by Radiology and other services at each division, identifying erroneous data entry and/or procedural problems, and notifying the appropriate staff for correction or remediation Submits Human Resources(HR) and Office of Information Technology (OI&T) requests to add, re-activate or change staff access to VA systems, for new Technologists, students and medical center employees for the Radiology package and PACS Implements customer service principles, understanding patient rights and responsibilities, service recovery, and has the ability to interact with tact and diplomacy during all customer interactions Demonstrates ability to complete projects on schedule, is self-directed and able to work with minimal supervision and as a team member Sponsors Radiology and Nuclear Medicine Personal Identification Verification Cards Interacts with customers with a diverse and varied background in person, via telephone, email, or other correspondence Pulls data and compiles data into meaningful and concise reports to include performance data regarding no-shows, waiting time, access, workload, clinic reminders, unsigned notes, coding, VIE alerts and open encounters Utilizes computer hardware/software to create reports and spreadsheets, generating reports and pulling data from various sources Organizes and maintains records in support of activities associated with environment and facilities management Provides programmatic support in key areas to include clinic setup and maintenance, data mining/reporting, and support related to space and equipment Preferred Experience: ADPAC Experience Radiology Experience Timekeeping Experience Work Schedule: Full Time - Monday - Friday 7:30am - 4:00pm Telework: Yes - as determined by the agency policy.
