Job Description:
The Event Coordinator / Management Analyst reports to the Circuit Executive. This position assists in the planning, organizing, and implementation of District of Columbia Circuit meetings, conferences, and events including but not limited to Court administrative meetings and the circuit judicial conference.
A strong candidate will have the following experience, skills, and attributes: Excellent communication and people skills; Event planning or project management experience; Ability to multitask; Experience and/or ability organizing, directing, or speaking to large groups of people; Flexibility and creativity, with ability to improvise; Ability to remain calm and maintain a sense of humor in the face of unexpected or challenging circumstances; Ability to work occasional weekend or evening hours to support events; Interest in learning about the history of the Court and giving tours; Experience interacting with members of the media and/or other communications experience; Attention to detail; Knowledge of Microsoft Word, Excel, PowerPoint, Outlook and Teams, and Zoom; Ability to maintain confidentiality and interact professionally with a wide range of people; and Ability to thrive in a fast-paced environment. To qualify for the CL-27, the candidate must also possess a minimum of two years of specialized experience at or equivalent to the next lower level below the position for which the applicant is being considered. To qualify for the CL-28, the candidate must also possess a minimum of two years of specialized experience at or equivalent to the next lower level below the position for which the applicant is being considered. Specialized experience is progressively responsible experience in or closely related to the position's work that has provided the particular knowledge, skills, and abilities to perform the position's duties successfully.
The incumbent discharges administrative, clerical, and technical responsibilities for the Circuit Executive's Office. Incumbent also provides administrative support to the Circuit Executive and Deputy Circuit Executive as needed. This is an on-site position based in Washington, D.C. Occasional travel is required. Provide office support and assistance for the administrative and event coordination functions of the office, which may include any or all the following duties and responsibilities: Assist with coordinating conferences, meetings, court ceremonies, and events, including primary planning, coordinating, and organizing catering needs, implementation, and post-event follow-up responsibilities. Assist in the preparation, printing, and distribution of agendas, meeting materials, and minutes of proceedings. Prepare name plates, name badges, and signage as needed. Serve as primary contact for invitations and responses. Serve as onsite project lead monitoring and supporting meetings and events. Arrange meetings or other events including notification to participants and logistical coordination. Arrange travel and prepare travel itineraries ensuring that policies and procedures are followed. Prepare, proofread, and edit materials drafted by others for accuracy, proper grammar, and spelling. Prepare correspondence, reports, form letters, and documents. Maintain correspondence and invitations for Court events, such as investitures and portrait ceremonies. Assists in compiling spreadsheets, writing reports, and making recommendations pertaining to projects within the Project Management team. Maintain, update, and track paper and electronic files; make copies and deliver documents to staff. Responsible for the organization and maintenance of the Project Management team records. Coordinate room reservations (courtrooms, judicial council room, attorneys' lounges, and courthouse meeting areas). Receive and route all incoming materials from within the court to appropriate individuals in the office. Receive and route incoming and outgoing mail to appropriate persons or offices. Perform other functions within the Circuit Executive's Office as assigned.
