Job Description:

You will serve as the Lead Support Services Specialist in the Business Office, Administrative Support Services Division (Code 180A) of the Supervisor of Shipbuilding, Conversion & Repair (SUPSHIP), Groton, CT.
TO QUALIFY FOR GS-9: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-7 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Applying administrative support principles to manage an organization's mail delivery system. TO QUALIFY FOR GS-7: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-5 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Performing a variety of administrative functions to support an organization. You will manage prescribed command support services and serve as the team lead for mailroom and control file functions.
You will be involved in developing, analyzing, evaluating, advising on, or improving the effectiveness of work methods and procedures, distribution of work assignments, management controls, and information and documentation systems.
You will manage the mail and file operations for the entire activity.
You will establish guidelines, procedures, and priorities to avert backlogs and crisis situations.
You will ensure maximum efficiency in the receipt, routing, dispatch and control of mail, including packages; registered and certified mail; naval messages and all written communications.
You will analyze and review all incoming/outgoing material prior to filing to assure that all required actions have been taken and that correspondence has been correctly routed and properly signed off by all cognizant codes.
You will establish and maintain a command tickler system to provide timely notification to all departments of action due dates.
You will create and maintain a command central workflow database system using Technical Support Management System (TSM) and the Mail Action Tracking System Module (MATS).
You will monitor the Records Disposal Program, advising on the procedures and prepare all reports as necessary.
You will determine the command's requirements for retention/disposal of hardcopy and electronic records.
You will ensure the destruction of SUPSHIP Groton classified material as required, ensuring compliance with Navy and SUPSHIP Groton destruction policies.
You will provide guidance and direction regarding command policy, procedures and operations to employees, all levels of SUPSHIP Groton management and the contractor's middle management.
You will provide expertise to the command and speak as the lead professional for the command in all mail and file matters.
You will be responsible for input, output and tracking of an extremely heavy volume of correspondence into the TSM Database.
You will receive and sort incoming mail by categories such as type of form, special attention, subject matter, kind of issuance, originator, location, or type of correspondence.
You will open and read mail, and determines routing by subject matter.
You will record, control, and process mail which requires special handling, e.g., message forms, registered, certified, insured, security, classified, priority/reply mail, etc., and obtain receipt signatures as required.
You will assist the supervisor in evaluating the status and progress of the team's work and perform analyses and reviews of team metrics to promote a more effective and fully integrated operation.
You will provide guidance and direction over the implementation and operation of new/existing management information and automated systems for SUPSHIP Groton.
