Job Description:

This position is located at the Richard L. Roudebush VA Medical Center within the Nursing Operations Service. The Advanced Medical Support Assistant (AMSA) conducts ongoing reviews to ensure quality of work; ensures accurate and timely scheduling of appointments; provide guidance to staff members, to include changes in policies and procedures; assist lead with orientation and provide on-the-job training for new employees; organize the work structure of his/her assigned areas.
Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience and Education Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR One year above high school; OR Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: To qualify for the GS-06 level, you must have one year of experience equivalent to the GS-5 grade level. Candidates must demonstrate all of the knowledge, skills, and abilities below: Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. Preferred Experience: Experience with inpatient ward. Physical Requirements: Work is mostly sedentary but may require some standing, walking, bending, twisting and stair climbing. Mail delivery on the wards and carrying of records, supplies, and copy paper is required. Some days may require more walking if the MSA is required to cover another area or is required to deliver urgent requests that affect patient care.

Incumbent's responsibility for training includes, but is not limited to, in-service education of on-the-job skills, following proper contingency plan, and nurse call system. Assist the lead/supervisors during meetings with all Medical Support Assistants to relay instructions on changes and new procedures affecting ward clerical activities. Evaluate new procedures and, if implemented, will provide a follow-up assessment to the supervisor, and will assist the supervisor in evaluating the stages of new employee training as they progress during hands on training. Will be instrumental in determining whether training is adequate in reporting assessment to the supervisor. In addition to performing the above functions as Advanced Medical Support Assistant, the incumbent will also function as a Medical Support Assistant, some of those duties include: Assembling records in correct sequential and chronological order, ensuring required forms are complete and signed by professional staff, notifying various departments of the action, making necessary arrangements for transfer of patient treatment records, including making sure that hospitalization summary and operative reports are complete, accurate, and properly filed before forwarding the Medical Records. Interprets a variety of physician's orders involving patient activities, diets and tests. Process orders on a timely basis to the appropriate source and routes them to the appropriate department( s) for action. Refers telephone and computer messages pertaining laboratory reports, x-rays, test results, etc., to appropriate charge or head nurse for immediate action. Files the results of various tests in patient charts for professional staffs reference, keeping record of care current and accurate. Arranges appointments for patients with clients, services, and consultants; coordinates appointments for timeliness and to avoid conflicts in patient treatment and to meet the schedule of clinic or service to which referred. Orients new physicians, nurses, nursing assistants, and students to such things as the location of patient files, format for requesting medical tests and supplies, and the requirements for completing charts upon discharge. Incumbent assists patients in contacting volunteer or social services as needed. Incumbent uses the Vista, CPRS, ISS system in the daily performance of duties, the software includes scheduling, lab, x-ray, outputs, entering and editing of patient data, other functions vital in the administrative processing of veterans, and other duties as assigned. Work Schedule: Full Time, Multi Tours, Rotating 5 - 8hr shifts, 7days a week, including weekends and holidays.
