Job Description:

Roseburg VA Medical center is looking to fill an Advanced Medical Support Assistant position in the Mental Health Serviceline at the main hospital in Roseburg, Oregon. This announcement is open to current Roseburg VA facility employees. The list generated from this announcement can be used up to 90 days to fill any additional vacancies that may arise.

Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j Specialized Experience: one year of specialized experience (equivalent to the GS5 grade level) in an advanced or complex clinical setting utilizing numerous advanced patient care systems, scheduling appointments across multiple clinics and coordination of services among a diverse team of medical providers and clinics to include outside agencies, advanced knowledge of medical terminology, advanced knowledge of the technical health care processes, policy and procedures as it relates to coordination of care. Candidates must demonstrate the KSAs below: 1. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met. 2. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations. 3. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns. 4. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care. 5. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc. 6. Physical Requirements: The work is mostly sedentary but may require periods of standing or walking however, there are no physical requirements for the 0679 Medical Support Assistant occupation.
Answering phones, greeting patients, checking patients in for appointments, relaying messages to appropriate staff, scheduling appointments, including interpreting, and verifying provider orders. Scheduling, canceling, rescheduling appointments and /or referrals; entering no-show information; monitoring appointment requests from multiple sources; participating in huddles with clinic staff to determine the daily needs of clinics. Process emergency and non-emergency transfers to other VA facilities or private hospitals. Use approved Electronic Health Record (EHR) in conjunction with approved scheduling software to view, process and schedule RTC orders, and referrals by interpreting and verifying provider and patient requests. Support patient safety standards using the correct Veterans Affairs identification of all patients using two forms of identification: first and last name, full Social Security Number, or date of birth. Monitor and assist Veterans with appointment management, information pertaining to patient demographics, travel benefits, insurance and other information management associated with software. Monitor and interpret patient flags and alerts through EHR. Verify, and update patient demographics using appropriate software and follow VHA policies and directives. Process supply requests. Enter/update or verify insurance information per VHA policies and directives. Assist in planned and unplanned leave coverage for the APU. Assemble admission packets for nursing staff to review with the patient upon admission to APU. Print inpatient labels and wristbands, and ensure documents are prepared for patient arrival. Manage bed boards, both Capacity Management and Bed Management System. Responsible for inventories, turn-ins of equipment, and other property management duties as assigned by the Custodial Official. Arrange outpatient appointments (Primary Care, Mental Health Medication Management per the Case manager) for patients discharging from the APU inpatient service. Back-up and primary TLs as timekeeping duties using GovTA. May be assigned additional duties to support the mental health service line. Work Schedule: Typical tour of duty is Monday-Friday 8am-4:30pm. Available tours will be discussed during the interview process.
