Job Description:

This position is located in the Architect of the Capitol, (AOC), Office of the Chief Of Operations, Superintendent, House Office Buildings (HOB), Assistant Superintendent, Client Services Division. This position provides administrative support and timekeeper assistance for the division.
You must meet the United States Office of Personnel Management's (OPM) qualification requirements (including specialized experience and/or educational requirements) for the advertised position. Specialized experience is experience that has equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Candidates for the GS-05 grade level must have at least 52 weeks of specialized experience equivalent to the GS-04 grade level in the Federal service. Specialized experience for this position includes Responds to (1) requests for information via mail, phone or in-person; gathers documents and researches data as requested. (2) Serves as point of contact for time and leave processing on GovTA (Ex: enters time and attendance data, identifies discrepancies, and monitors leave usage and conducts leave audits) in designated divisions. Candidates for the GS-06 grade level must have at least 52 weeks of specialized experience equivalent to the GS-05 grade level in the Federal service. Specialized experience for this position includes: Specialized experience is defined as having experience providing a variety of services to the occupants of the U.S. House Office Buildings including: 1.) supporting the daily operations of the building; 2.) conducting inspections for cleanliness and maintenance; and 3.) having experience using systems to maintain data and records. Candidates for the GS-07 grade level must have at least 52 weeks of specialized experience equivalent to the GS-06 grade level in the Federal service. Specialized experience for this position includes: Specialized experience for this position is defined as having experience (1) Responding to requests for information via mail, phone or in-person; gathering documents and researching data as requested; and (2) Serving as point of contact for time and leave processing on GovTA system, (ex: entering time and attendance data, identifying discrepancies, and monitoring leave usage and conducting leave audits.) in designated divisions.
The tour of duty for this position is 8:00 a.m. - 4:30 p.m. The individual selected for this position will: Office Activities: Responds to requests for information via mail, phone or in-person; gathers documents and researches data as requested. Receives and controls incoming correspondence. Reviews outgoing correspondence reports, memorandums, for format, grammar and punctuation and removes typographical errors. Ensures that electronic and paper records are properly organized, managed, retained in accordance with the approved records schedule and protected. Maintains the division records management system, performing appropriate records management activities to ensure safeguarding and protection of Personally Identifiable Information (PII) and confidential records. Participates in operational or planning meetings to discuss program or project milestones and activities and develops minutes and records of meetings and pending issues. Keeps minutes of meetings and prepares administrative reports and prepares PowerPoint presentations and memoranda as required. Receives incoming calls and and handles customer inquires and visitors in a responsive and professional manner. Schedules meetings on the supervisor’s calendar and coordinates meetings to include, reserving rooms for meetings; agenda preparation, note taking and room set up. Assists with the requisitioning of office supplies, office equipment repairs and printing services. Timekeeping Support: Provides guidance on time and attendance issues and ensures the accuracy of timesheets. Reviews timesheets and identifies discrepancies. Provides advisory services to division supervisors and employees and make recommendations for resolving payroll problems. Compiles and enters data from timesheets and other required documentation into GovTA. Keeps track of the alternate work schedules and ensures participation is in compliance with agency policies. Responsible for processing separations and/or terminations through GovTA. Responsible for ensuring timesheets are validated and certified before transmittal. Conducts timesheet corrections as necessary. Monitors leave usage and conducts leave audits as required. Responds to all levels of individuals and provides technical and general information to managers, employees and the general public regarding rules, regulations and procedures for pay and a variety of other payroll matters.
