Job Description: We're seeking an Administrative Specialist to provide advanced analytical and specialized administrative support. You will assist managers with highly complex projects and various administrative duties Perform more complex secretarial and administrative duties involving frequent exercise of independent judgment, initiative, and diplomacy in support of an Executive. Requires excellent organizational and interpersonal skills as well as problem solving, negotiation and follow-up skills. Requires ability to organize and coordinate multiple projects and has good verbal and written communications ability. Requires excellent word processing, spreadsheet and database computer skills. Strong Microsoft Word, Excel, PowerPoint and Dictaphone skills. Responsibilities: Executive & Strategic Support Manage complex calendars across multiple time zones, ensuring seamless scheduling and prioritization of high-stakes meetings. Prepare executives for vendor, client, board, and regulator engagements with complete briefing materials—including organizational charts, executive biographies, and “baseball card” style profiles outlining key stakeholders, vendors, or counterparties. Organize, triage, and prioritize critical emails, documents, and communication deliverables to ensure the executive remains focused on top priorities. Act as gatekeeper for communications, exercising judgment to prioritize and escalate appropriately. Meeting Preparation & Follow-Through Capture, track, and monitor follow-up actions to ensure commitments are met. Coordinate with business partners and communications teams to organize and execute town halls, team meetings, and leadership offsites. Interact regularly with other executive assistants across the bank to ensure clear communication, scheduling alignment, and smooth coordination of cross-functional priorities. Stakeholder Engagement Represent the office of the Head of Technology in interactions with senior executives and regulators. Maintain the highest standards of confidentiality and discretion when handling sensitive matters. Process & Efficiency Improvement Leverage Microsoft 365, workflow automation platforms, and AI assistants (e.g., Microsoft Copilot) to improve efficiency and streamline recurring tasks is a plus. Continuously refine processes to improve meeting readiness, reporting quality, and information flow. Attributes Operates with poise, discretion, and calm under pressure. Highly proactive, resourceful, and anticipates needs ahead of time. Strong emotional intelligence with the ability to manage stakeholders diplomatically. Demonstrates absolute confidentiality and integrity in all matters. Qualifications: 10+ years of experience supporting senior leadership at the executive level. Excellent organizational and interpersonal skills as well as problem-solving, negotiation, and follow-up skills. Ability to organize and coordinate multiple projects and has excellent verbal and written communication skills. Requires excellent word processing, spreadsheet and database computer skills. Strong Microsoft Word, Excel, PowerPoint and Typing skills. Experience with Workday and Concur is preferred. Experience, working with senior-level management Strong interpersonal, administrative, and time management skills Excellent verbal and written communication skills Strong client interaction skills focusing on customer service Ability to handle varied work requirements within multiple internal systems Advanced knowledge of PC applications (MS Office) Provide administrative support to BTMUS Registered Representative The typical base pay range for this role is between $73K - $114K depending on job-related knowledge, skills, experience, and location. This role may also be eligible for certain discretionary performance-based bonuses and/or incentive compensation.
