Job Description:

This position is located at the Washington DC VA Medical Center within the Radiation Oncology Department. The purpose of this position is to perform substantial administrative and program support work for the department of Radiation Oncology at the DC VA Medical Center. The Program Support Assistant is a direct report to the Chief Radiation Oncologist, Radiation Oncology.
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/27/2025. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Managing telephone calls and visitors tactfully and diplomatically following the organizations customer service protocols; Providing administrative support to a highly complex service managing cancer patients; Collecting, organizing and maintaining necessary data and records; experience utilizing ARIA and CPRS to manage physician schedules; Obtaining patient information and medical data from a variety of sources; working with physicians and scheduling staff to determine when consults should be discontinued; ensuring that all return-to-clinic orders are completed within a timely manner. Some duties include, but are not limited to: Provides administrative support to a highly complex service managing cancer patients. Manages telephone calls and visitors tactfully and diplomatically following the agencies customer service protocols. Skilled in the use of ARIA and CPRS to manage physician schedules. Obtains patient information and medical data from a variety of sources - oral, written and electronically; assisting physicians (and other clinical staff) with record requests and scanning of records into the electronic chart; ensuring adherence to the agencies and the service level policies. Works with the Administrative Officer (AO) to ensure that all encounters for the department are closed and that patients who are not present for appointments get rescheduled. Ensures that all return-to-clinic orders are completed within a timely manner. Maintains familiarity with service guidelines for time limits on consult scheduling and completion based on cancer diagnosis. Assists physicians with patient paperwork and letters required for their cancer treatment.
