Job Description:

This position is in the Pharmacy Service of the Tucson Veterans Affairs Medical Center. This department is comprised of seven specialty sections, Inpatient Pharmacy, Outpatient Pharmacy, Ambulatory Care, Community Based Outpatient Clinics, Pharmacy Phone Center, Research, and Education. The Incumbent serves as Executive Secretary to the Chief, Pharmacy Service.
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/26/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Using databases or spreadsheet software to create, enter, revise, sort, calculate, or retrieve data reports; applying office administrative practices and procedures for managing and preparing correspondence, memoranda, letters, and reports; reviewing documents for accuracy; communicating with customers to answer routine questions; scheduling appointments and maintaining service calendars. You will be rated on the following Competencies for this position: Clerical Communications Computer Skills Manages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary. Position requires sitting, walking, standing, bending, and carrying light items, such as books, papers, and files. Extended periods of typing may be required, as well as working with frequent interruptions in a noisy and hectic office frequented numerous telephone calls and visitors. Receives and screens telephone calls and visitors to the Office of the Chief, Pharmacy Service. Ascertains the nature of the call or the purpose of the visit and independently determines the appropriate action. Reads and screens all incoming correspondence, publications, regulations, and directives that affect the Pharmacy Service and unilaterally decides which can be acted upon personally and which must be referred to the Chief, Pharmacy. Maintains a master tracking spreadsheet for incoming and outgoing action items/taskings from Senior Leadership and other management affiliates. Ensures all requirements are appropriately forwarded for action to appropriate Pharmacy staff and the suspense is tracked through completion and submission. Maintains an accurate account of all incoming and outgoing correspondence. Also, tracks all potential recruitment activities for any pharmacist applicants and establishes a schedule for their interview. Tracks privileging/credentialing dates and notifies management when renewal requirements are due. Provides administrative support for regulatory visits including scheduling, note taking, document generation/ organization, and other tasks as needed. Prepares report, memorandums, and outgoing correspondence for the signature of the Chief, Pharmacy Service. Maintains and updates files, manuals, and standard operating procedures pertaining to the Pharmacy Service, including VA regulations, reports, bulletins, circulars, etc. Maintains the Chief, Pharmacy Service activity calendar and schedules appointments, conferences, and meetings on own initiative based upon personal knowledge of the Chief, Pharmacy Service workload and current issues of importance. Arranges for meetings and conferences, including such matters as location, schedule, agenda, and attendance list. Owner of Conference Room Scheduler for Pharmacy Service conference rooms. Advises individuals concerned if meetings and appointments must be rescheduled and arranges mutually convenient replacement times. Enters leave data into the computer and compiles leave records used to compile reports. Monitors use of overtime, comp time for travel hours, and annual leave and absences to assure compliance with VA policy and refers, when appropriate, to supervisors for action. Requisitions office supplies, equipment and publications as needed. Coordinates submission of work orders for equipment repair.
